01Contract

Contracting the base package

You sign for the base package and reserve your week in the space. At this stage you choose how to approach budgeting.

Frequently asked questions

General use of the space

What is the Bump Policy Experience Space?

A 400m², two-floor venue on Place du Luxembourg in Brussels, operated by Bump. It's designed specifically for immersive, week-long policy pop-up experiences, and isn't available as a traditional venue rental.

How is a policy pop-up experience different from a standard event?

Each week blends structured sessions — panels, fireside chats — with informal formats like networking, stakeholder meetings and content capture, all co-designed to build momentum and visibility around your policy goals.

How often is the space available?

We run a limited number of week-long experiences each year — typically around 16 weeks, aligned with the Brussels policy calendar. Spring and autumn are most in demand, and are often booked four to six months in advance.

Is it available for one-day or half-day events?

Not for non-retained clients. Outside of full-week activations, the space is only available for shorter formats to retained Bump clients.

Capacity and format

What's the venue's capacity?

50–75 seated guests in most configurations, up to 85 seated in the largest ground floor layout, and up to 149 guests for standing receptions across both floors.

What's your registration policy?

Registration cap = event capacity + 20%. This reflects our space's typically low no-show rate while preserving comfort, safety and experience quality.

Contract conditions

What's the payment schedule?

A 50% non-refundable deposit is due at contract signing, 25% is invoiced 30 days before activities begin, and the remaining 25% is invoiced at the week's end with 30-day payment terms.

What's your cancellation policy?

More than 45 days before your week, 50% of the contracted amount is due. Less than 45 days before, 100% is due. The deposit is always non-refundable.

What happens under force majeure?

If your event is cancelled due to circumstances beyond either party's control — a natural disaster, government restrictions — we'll work with you to reschedule at no additional cost.

Equipment and catering

What AV equipment is included?

Wireless and handheld microphones, a 100" screen on the first floor and a 5m x 2m touchscreen on the ground floor, presentation laptops, stage lighting, a multi-zone sound system, and multi-cam recording and photography in the base package. Livestreaming is available at additional cost.

What's included in catering?

Fixed-menu catering for lunches and evening receptions is included, along with fruit, snacks, and barista-made coffee throughout the day. We can accommodate most dietary needs with prior notice.

Can we bring outside food, drink or vendors?

Catering is coordinated exclusively by Bump using pre-vetted suppliers, to keep quality and flow consistent with the space. Outside food and drink isn't permitted unless specifically agreed in writing.

Working with Bump

Can our agency run an activation in the space?

Only agencies who have signed a Memorandum of Understanding with Bump may collaborate on activations here — and all contracts are still signed directly with the end client.

Do you offer traditional venue hire?

No. The Bump Policy Experience Space is the physical component of a complete, end-to-end service delivered by Bump, not a standalone rental.

Can we get a proposal or concept before signing?

We don't take part in competitive pitches or produce speculative creative work before a contract is signed. The alternative is a standalone paid Idea Sprint, priced at €7,500, which produces a strategic concept and visualisation with no obligation.
